Hire Terms and Conditions

These terms apply to every wedding post box hire booked with The Card Box Co. Please read them carefully before booking. By placing a booking with us, you confirm that you have read, understood and accepted these terms.
1. About us
The Card Box Co is a trading name of HR Prints Ltd, a company registered in England and Wales, registered office 7 Bell Yard, London, WC2A 2JR. In these terms, "we", "us" and "our" refer to The Card Box Co. "You" and "your" refer to the customer placing the booking.

2. The hire
We hire wedding post boxes to UK couples for use on a specific wedding date. Each hire includes:
The post box style and colour you select.
Free UK delivery, with the post box arriving 2 days before your chosen hire date.
Free UK collection, taking place 2 days after your chosen hire date.
A free personalised insert designed by us, featuring your names, wedding date and venue, which is yours to keep.
A lockable post box with 2 keys.
Hire is for personal use only. The post box must not be sub-let, sold or used for commercial purposes without our written consent.
3. Booking and confirmation
Your booking is made by selecting your post box, choosing your hire dates and completing checkout on our website. We accept your booking once we have received full payment and sent you a booking confirmation email. Until you receive that email, no contract is formed between us.
You are responsible for ensuring the personal details you provide at checkout are correct, including the names, wedding date, venue and delivery address. We are not liable for errors caused by incorrect information you give us.
4. Payment
Full payment is taken at the time of booking, in pounds sterling, via our payment processor. We do not currently offer payment plans or instalments. Prices are inclusive of VAT where applicable.
5. Personalisation
Your personalised insert is designed using the names, wedding date and venue you provide at checkout. Please check these details carefully before completing your booking.
Because the insert is bespoke and made to order, once it has been designed and printed for you it cannot be reused or resold. You can request reasonable changes to the design wording until 14 days before your hire date, after which the insert goes to print and changes cannot be accepted.
If you spot a mistake in your insert after delivery, contact us immediately at hello@thecardboxco.co.uk and we will do our best to put it right.
6. Cancellation by you
Because our hire is for a service relating to a specific event on a specific date (your wedding), the standard 14-day cooling-off right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 does not apply to your booking under regulation 28(1)(h). This is the same exemption that applies to wedding venues, photographers and other date-specific wedding suppliers.
However, because we know wedding plans can change, we offer the following customer-friendly cancellation terms:
If you cancel more than 60 days before your hire date, we will refund 100% minus a small £10 admin fee of what you have paid.
If you cancel between 60 and 30 days before your hire date, we will refund 50% of what you have paid.
If you cancel less than 30 days before your hire date, we are unable to offer a refund, as we will already have committed resources (including printing your personalised insert and reserving stock against other bookings).
To cancel, email us at hello@thecardboxco.co.uk with your booking reference. Cancellation takes effect on the date we receive your email.
7. Changes by you
You may request a change of date for your booking, subject to availability. If we are able to accommodate your new date at no additional cost to us, we will do so without charge. If your new date involves additional courier or printing costs, we will let you know in advance.
A change of date must be requested at least 30 days before your original hire date.
8. Cancellation or changes by us
In the rare event we need to cancel your booking due to circumstances outside our control (such as damage to the post box you booked or courier strike action), we will let you know as soon as possible and offer you either a full refund or, where possible, a replacement post box.
We will not be liable for any indirect or consequential losses (for example, the cost of wedding stationery you have already printed referencing your post box) arising from such cancellations.
9. Delivery and collection
We deliver via courier, typically DPD, with full insurance.
Delivery will arrive 2 days before your hire date. You must provide a delivery address where someone over the age of 18 can sign for and accept the parcel. We are not responsible for failed deliveries caused by no one being available to receive the parcel. If a redelivery is needed, additional courier charges may apply.
Collection will take place 2 days after your hire date from the same address (or a different UK address if agreed with us in advance). The post box must be ready, with the keys inside, and securely packed in its original packaging at the time of collection.
If the post box is not ready for collection on the agreed date, or if collection fails because no one is available to hand it over, you may be charged a late return fee of £30 per day until collection is successfully completed, plus any additional courier charges.

10. Damage and loss
You are responsible for the post box from the moment it is delivered until the moment it is collected.
Ordinary wear and tear is expected and is included in the hire fee. By "ordinary wear and tear", we mean minor surface marks consistent with normal wedding use.
However, you will be liable for the cost of repair or replacement if the post box is:
Damaged beyond ordinary wear and tear (significant scratches, dents, paint damage, broken lock, missing keys, water damage from being left outside without cover).
Lost or stolen during the hire period.
Returned with the keys missing.
In the event of damage, we will assess the cost of repair or replacement and invoice you. Our current full replacement cost is approximately £200. We will charge only the actual cost incurred, not a punitive amount.
Please keep the post box indoors or under cover (such as a marquee) and away from direct rain or extreme conditions to avoid damage to the painted cast iron finish.
11. Lost keys
If either key is missing at the point of collection, a £15 replacement charge will apply per key.
12. Force majeure
Neither party will be in breach of these terms or otherwise liable if performance is prevented or delayed by an event outside reasonable control. This includes (but is not limited to) acts of God, war, terrorism, civil unrest, government action, pandemic, courier strikes, severe weather, or transport failure.
If a force majeure event prevents us from delivering your post box for your wedding, we will refund you in full. We will not be liable for any indirect or consequential losses arising from such events.
If a force majeure event affects you (for example, your wedding being postponed due to illness or government restrictions) we will work with you to reschedule to a new date subject to availability, at no extra cost. If we cannot reschedule, the cancellation terms in section 6 apply.
13. Our liability
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under UK law.
Subject to that, our total liability to you under or in connection with these terms is limited to the amount you have paid us for the affected hire.
We are not liable for indirect, special or consequential losses, including but not limited to loss of enjoyment, loss of business, loss of profit, or third-party costs (such as wedding stationery, signage or other items printed referring to a post box that did not arrive).
14. Use of the post box
The post box is provided for the display and collection of cards and well wishes at your wedding. It is not designed for and must not be used for:
Storing cash, jewellery or other high-value items beyond the cards posted by your guests.
Outdoor use without weather protection.
Any commercial or public event without our written consent.
We accept no responsibility for the contents of the post box during your hire, including any cards, gifts or items posted by your guests.
15. Complaints
If you have a concern about your hire, please contact us at hello@thecardboxco.co.uk as soon as possible so we can try to resolve it. We aim to respond to all complaints within 5 working days.
If we cannot resolve your complaint, you may be able to refer it to a dispute resolution service. We are not currently signed up to a specific ADR scheme, but the UK's Citizens Advice service (citizensadvice.org.uk) can guide you.
16. Personal information
We process your personal information in accordance with our Privacy Policy, available at thecardboxco.co.uk/pages/privacy-policy.
17. Changes to these terms
We may update these terms from time to time. The version applicable to your booking is the one published on our website at the time you placed it.
18. Governing law and jurisdiction
These terms are governed by the laws of England and Wales. Any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
